Regular Sunday Service Job Duties

Worship Coordinator

  • Arrive at 9:15 am and slightly prop open the side door with the rock so that other volunteers can get into the church. Flick the light switch in that vestibule to turn on the hall lights. Open the outer office door (but do not unlock it) and turn on the lights in the office area. Make sure the Attendance sheets and Announcement folder are on top of the filing cabinet.
  • Check the Volunteer schedule posted on the bulletin board in the hallway and make sure everyone scheduled arrives. If some people are missing or are unable to attend, help with finding replacement Volunteers or tell a Worship Committee member (Volunteer and Worship Committee members list posted in outer office). Once all Volunteers arrive shut the side door
  • Make sure that the Volunteers know what they are supposed to be doing, especially if they are new to the position. Position descriptions are posted on the bulletin board
  • Turn on the lights in the Narthex area – beige tiled area (this requires two switches to be turned on). The Communications Team will turn on the lights in the Sanctuary
  • Turn on both the front and back cross lights – the back cross light has a remote that you can ask the Communications team for (during Advent also plug in the Christmas tree)
  • Make sure the clear plexiglass offering box is on the small table at the entranceway to the Sanctuary – if it is not there, look for it in the outer office
  • Open the blinds in the Sanctuary and also go around the Sanctuary and open some bottom windows and prop open a back door in the Narthex to let the air circulate around the Sanctuary, unless the weather is very cold or storming.
  • Make sure the Christ Candle, Peace Candle and lighter are present and working on the Communion Table. Check that there is enough fuel in the Christ Candle and that the tea light in the Peace Candle is in good condition. More fuel and tea lights, as well as other lighters are kept in the Communion table. During Advent there will only be the Advent wreath, so just check that there is a lighter and the acolyte on the Communion table. Turn on the lights of the Advent wreath by pressing the button eight times (if this has not been done already by a Decorating Committee member)
  • When all Volunteers have arrived and are ready, ask one of the Greeters to open the front doors (at approx. 9:45 AM)
  • At the end of the service, turn off the cross lights, close the blinds and close all the windows/doors, after the Minister and Music Director and A/V team have left the Sanctuary
  • Clean your hands
  • Ask someone to be a witness to you removing any offerings from the plexiglass box and then placing these in an envelope that you will find on top of the filing cabinet in the outer office. Label it, John Allchin, Envelope Steward. Seal the envelope and place the envelope in the Donations or Donations Steward folder in the top drawer of the filing cabinet in the outer office
  • Clean your hands

 

Reader/Announcer

  • The church office will e-mail the Scripture reading and Announcements to you by the Friday before you read. The Announcement folder can be picked up from the outer office on Sunday morning both pieces will also be printed out and in the folder
  • At home, practice reading the Scripture reading out loud several times
    • Try to speak slowly and be sure to enunciate the first and last letter of each word (If people can’t hear properly, it’s usually because the reading was too fast)
    • If you are unsure of any pronunciations you can do a Google search for the word you are unsure of and type the word pronunciationg., Malachi pronunciation
  • Review the Announcement page all the way to the bottom. Read through the script carefully so you know which parts not to read out loud.  You may take Announcement requests on Sunday. Take a pen with you just in case.  No one else may make Announcements but yourself, except in a special prearranged circumstance. If there is a video announcement to be shown, you will be given an introduction for it
  • On Sunday, arrive as close as possible to 9:30 am and enter through the west side door – it should be propped open
  • Check in with the Worship Coordinator to confirm you have arrived
  • Sit in your designated seat at the front of the Sanctuary. After you read the Announcements, return to your seat. When it is time to read the Scripture, go up to the podium again to read. When you are finished return to your designated seat and stay there for the remainder of the service. You may remove your mask to read the Announcements and Scripture, but replace it afterwards
  • Return the Announcement folder to the outer office at the end of the Service and place it on top of the filing cabinet

Greeters

  • Arrive as close as possible to 9:30 and enter through the west side door – it should be propped open
  • Check in with the Worship Coordinator so they know you have arrived
  • Get the Reservations list and clipboard from the outer office
  • One of the Greeters is to place the Sandwich Board information signs outside the church doors by 9:30 and bring them back in at the end of the service
  • First Greeter to stand close to the front door area by the counter. After checking with the Worship Coordinator that all other Volunteers are ready, prop the left side (from inside the church) outside front door open and also prop open the inner right side door to facilitate entry, weather permitting
  • Do NOT shake hands, consider an alternative non-touching form of greeting, but try to greet people as warmly as possible. Ask people that arrive without a mask to get one
    • As people arrive, ask to see their proof of double COVID-19 vaccination if eligible OR proof of valid medical exemption, OR proof of participation in COVID-19 vaccine trial OR negative rapid COVID test
    • If the person indicates that they need to take a rapid test in order to enter the Sanctuary, ask them to step to the side and locate the designated person that will deliver the test (you will be informed who that is)
    • Answer any questions asked (e.g., location of washrooms, Kids’ Program space – children go directly to Kid’s Program or infants/toddlers directly to the Nelson Room with caregivers)
  • Second Greeter to stand at a comfortable distance across from the First Greeter to assist them with the checking of Vaccination certificates
  • Do NOT shake hands, consider an alternative non-touching form of greeting, but try to greet people as warmly as possible. Ask people that arrive without a mask to get one
    • As people arrive, ask to see their proof of double COVID-19 vaccination if eligible OR proof of valid medical exemption, OR proof of participation in COVID-19 vaccine trial OR negative rapid COVID test.
    • If the person indicates that they need to take a rapid test in order to enter the Sanctuary, ask them to step to the side and locate the designated person that will deliver the test (you will be informed who that is)
    • Answer any questions asked (e.g., location of washrooms, Kids’ Program space – children go directly to Kid’s Program or infants/toddlers directly to the Nelson Room with caregivers)
  • Third Greeter to stand at a comfortable distance towards the end of the counter to assist the First and Second Greeters
  • Do NOT shake hands, consider an alternative non-touching form of greeting, but try to greet people as warmly as possible
  • Check names off the Reserved Seating List provided by the Administrator
  • If the person is not on the list, add their name to a blank line at the end of the list if there are spaces available and hand them a contact tracing form and ask them to fill it out and return it to you. If there are no spaces available, the church is full and they will have to come back another Sunday – suggest they reserve a spot next time
    • Add the names of the Minister and Music Director to the list
    • Make sure that all Volunteers working that Sunday have been marked off and vaccination status checked as well
  • Ask congregants to sanitize their hands upon entry
  • Direct people towards the Ushers at the back of the Sanctuary – if the forms indicate that the people need some kind of hearing assistance ask them to let the Ushers know and the Ushers will direct them where to go
  • Answer any questions asked (e.g., location of washrooms, Kids’ Program space – children go directly to the program or infants/toddlers directly to the Nelson Room with caregivers)
  • If there is no Kid’s Program available, provide each child with an activity kit before they go to the sanctuary with their accompanying adults
  • Please talk softly after the service starts as this can be heard in the Sanctuary

Note: if it is heard in the Sanctuary it might be heard on the        recording

  • Remain at the doors to help late comers until the beginning of the second hymn unless all registered congregants have arrived

 Shut the outside doors and make sure they are locked

  • Place ALL printed copies of the Attendance sheets in the front of the folder labeled Worship Attendance Record kept in the top drawer of the filing cabinet in the outer Office area. Staple any walk in sheets to the back of the Attendance sheets. No printed copies are to be left anywhere other than folder in the filing cabinet. They contain confidential information. Leave the clipboard on top of the filing cabinet
  • Sit in your assigned seat at the back of the Sanctuary in the Narthex (beige floor area) to be available to let registered latecomers into the church
  • Just before the service ends, First Greeter is to go and prop open both the interior and exterior main front doors, weather permitting
  • After all congregants have left, remove the door props and make sure the doors are shut and locked

Usher

  • Arrive as close as possible to 9:30 and enter through the west side door – it should be propped open
  • Check in with the Worship Coordinator so they know you have arrived
  • There will be no bulletins to hand out
  • Warmly greet people by name (if possible) advise/assist people to take a seat.
  • Ask people to be respectful of individuals who may require a larger zone of personal space to feel comfortable
  • Be prepared to answer questions OR direct worshippers to someone with such knowledge
  • People who are using a Hearing device should be directed to the Communication booth to obtain that device. People who are seated in the Hearing Loop should be seated on the bench in front of the Communications booth
  • Show people where the donation box is, if needed
  • Ensure seats are NOT moved
  • Please talk softly after the service starts as this can be heard in the Sanctuary

  •  Remain standing at the back to help late comers until the beginning of the second hymn unless all registered participants have arrived (Greeters have the Reservation list)
  • Please ask congregants to sanitize their hands upon exit
